Usage Data: Device information, IP addresses, browser type, and platform interaction data.

• To provide, maintain, and improve our property management services
• To facilitate communication between landlords, tenants, and contractors
• To power AI-driven maintenance diagnosis and cost estimation

• To send transactional notifications via email and SMS (maintenance updates, account alerts, verification codes)
• To provide SMS-based portfolio updates when landlords text our service number
• To comply with legal obligations and enforce our terms

3. SMS Communications

PropAgentic uses SMS for the following purposes:

• Phone verification: One-time codes to verify your phone number during registration
• Contractor notifications: Job assignments, status updates, and welcome messages
• Landlord portfolio bot: Landlords can text our number to receive property summaries, maintenance ticket updates, and portfolio statistics. This service is initiated by the landlord (inbound) and responses are conversational and informational only.

You may opt out of SMS communications at any time by replying STOP to any message. Standard message and data rates may apply. Message frequency varies based on your usage.

4. AI-Powered Services

We use artificial intelligence (powered by Anthropic Claude) to analyze maintenance issues described by tenants, including text descriptions and uploaded photos. AI-generated diagnoses, cost estimates, and recommendations are used to improve service quality. Conversations may be stored for service improvement and audit purposes.

5. Information Sharing

We do not sell your personal information. We share information only in the following circumstances:

• Between platform users: Landlords, tenants, and contractors see relevant information needed to facilitate maintenance and property management
• Service providers: We use third-party services (Stripe, Twilio, SendGrid, Google Cloud, Anthropic) to operate our platform. These providers are contractually obligated to protect your data.
• Legal requirements: When required by law, regulation, or legal process

6. Data Security

We implement industry-standard security measures including encryption in transit (HTTPS/TLS), secure authentication (Firebase Auth), role-based access controls, and secure credential management (Google Secret Manager). Payment data is handled by PCI DSS-compliant processors.

We retain your data for as long as your account is active or as needed to provide services. You may request deletion of your account and associated data at any time by contacting us or using the account deletion feature in your settings.
